An operations portal that runs a field-service business from quote to roster

An admin-only operations portal for a premium exterior cleaning business: hourly job scheduling, contractor rostering with weekly SMS, Xero billing sync, customer emails through Google Workspace, and infrastructure stood up from code.

The challenge

Bling Bling Brisbane is a ten-year-old exterior cleaning operator with a referral-driven pipeline from real estate agents and property managers. Quotes and invoices lived in Xero, scheduling lived in people's heads and message threads, contractors were rostered by text, and customers needed preparation instructions before each job. Accepted quotes that never made it onto the calendar were revenue quietly leaking away.

How we approached it

  1. Reused the proven booking platform core from earlier work rather than starting from zero, then reshaped the domain from barbers and bookings to contractors, cleaning jobs and sites

  2. Mapped the operating workflow end to end, from enquiry and desktop quote through acceptance, scope of works, roster, job and invoice

  3. Deliberately removed what the business did not need, including customer self-booking and point-of-sale features, to keep the system small and cheap to run

  4. Codified the entire cloud environment as repeatable scripts so a second environment or a second business is a re-run, not a project

What we built

  • Hourly week-by-day job calendar

    Cleaning jobs scheduled on 60-minute slots across a seven-day view, with contractors shown on each job and sites, not shopfronts, as the location model.

  • Contractor rostering and weekly SMS

    Rosters managed in the portal, with each contractor receiving their upcoming week by SMS automatically every Monday morning. Contractors log in and see only their own schedule.

  • Xero billing module

    Quotes and invoices pulled from Xero with billing-only scopes and matched to customers, producing a live worklist of accepted quotes that have not yet been scheduled.

  • Customer email automation

    Pre-clean preparation guides and scheduling reminders sent from the business mailbox through the Google Workspace Gmail API, replacing a separate marketing email tool.

  • Voice call routing

    Inbound calls routed through a browser softphone and a hunt group of forwarded mobiles with voicemail fallback, tuned in production against real carrier behaviour.

  • Infrastructure as code

    Idempotent bootstrap scripts provision the project, APIs, database, secrets, service accounts, Workload Identity and hosting from zero, with no long-lived keys in the deployment pipeline.
